GRANT PROGRAM PROTOCOL <br /> City Council <br /> 1 <br /> Grant Grant <br /> MIMS <br /> Program Manager !: 7 Contract Vendor <br /> A <br /> Grant <br /> Focus Group <br /> 'Individual sue;` <br /> Departments <br /> 1 <br /> Grant <br /> • • • Department POCs <br /> City Council - approves annual grant contract and receives gr:mt status monthly updates <br /> City Manager's Office - City Manager has ultimate responsibility for program, which is located in the CMO suite <br /> Grant Program Manager - oversees and coordinates program for City manager: works closely with contract <br /> vendor, conducts Grant Focus Group meetings. monitors grant activity through Department POCs. manages program <br /> budget. and provides monthly updates through CMO to City Council. <br /> Grant Contract Vendor — performs contract scope of work (grant program process from research and application <br /> to updates and maintenance); reports to Grant Program Manager and works closely with Grant Department POCs. <br /> Grant Focus Group (GFG) — a representative from each City department performing as a liaison between the <br /> Department and Grant Program Manager; meets when required with Grant Program Manager normally involving <br /> important program issues or concerns. <br /> Individual City Departments — each member of the GFG will keep their respective Department Head informed of <br /> any program issues or concerns impacting their respective department and provide necessary feedback to the Grant <br /> Program Manager. <br /> Grant Department POCs — depending on the nature of the grant involved, the respective department will assign <br /> an appropriate single Point of Contact (POC) to work directly with the Grant Contract Vendor during the life of the <br /> grant. <br /> Exhibit A -I Page 4 of 4 <br />
