• Tide 1 City Council — Chapter 11 Policy Governing Use of Computer Systems, E -Mail <br /> and Information Security <br /> In addition to the Administrative Code, "Guidelines Regarding the Use of Electronic <br /> Communication" and "Guidelines Regarding the Use of Social Media" have been <br /> developed to be inserted into the Councilmembers Handbook to provide specific and up- <br /> to -date information on each topic. <br /> • Title 2 City Manager — Chapter 6 Departmental Use of Social Media <br /> This addition to the Administrative Code authorizes the City Manager to develop and <br /> implement rules and procedures governing Departmental.use of Social Media. As Social <br /> Media develops and changes, the City Manager is authorized to develop and modify <br /> written policies to accurately reflect the changing communication practices and mediums. <br /> • Title 10 Human Resources — Chapter 4 Policy Governing Use of Computer Systems, E- <br /> Mail and Information Security <br /> This addition to the Administrative Code authorizes the City Manager to develop and <br /> implement rules and procedures governing the use of the City's Computer Systems. This <br /> authorization recognizes the distinction in the use of technology between the City <br /> Council and the City Staff. <br /> The most significant policy change from the September 2000 Administrative Code is the <br /> automatic deletion of E -Mail every 120 days from a user's Outlook Inbox, Sent Items and <br /> Deleted Items. The current policy defines E -Mail as temporary communications and may <br /> be discarded routinely. The proposed Administrative Code clarifies that E -Mails that are <br /> considered public records should be preserved and maintained out of the working <br /> transitory files of Outlook (Inbox, Sent Items and Deleted Items) and retained in the <br /> Outlook Cabiriet or in a subject matter file. <br /> • <br /> • <br />
