cost-effective pavement rehabilitation alternatives to stay within the planned project budget and <br /> schedule. <br /> Throughout the project, consultant shall be available to attend regularly scheduled progress <br /> meetings with the City(maximum of 3), to maintain good communications, The purpose of the <br /> progress meetings will be to identify and resolve any design or funding issues that may surface in a <br /> timely manner, present design alternatives and recommendations to the City, and continue <br /> coordination with project stakeholders, as necessary. <br /> Deliverables: Kick-off/Progress Meeting Agendas and Minutes <br /> 1 B) Utility Coordination: <br /> Consultant shall coordinate with utility agencies early in the design process to help avoid potential <br /> construction delays and unnecessary disruptions to public services. Consultant shall send <br /> notification letters on behalf of the City to applicable utility providers with a preliminary project <br /> schedule for street rehabilitation and reconstruction at the beginning of the services. Consultant <br /> shall also request utility as-builts and record drawings for street sections planned for <br /> reconstruction. <br /> Consultant shall document all utility coordination notifications, conversations, meetings and <br /> information in a dated matrix format with mailing details. <br /> Deliverables: Utility Notification Letters and Utility Contact Matrix. <br /> Task 2— Pavement Rehabilitation Design <br /> 2A) Pavement and Curb & Gutter Condition Survey <br /> Consultant shall perform a detailed pavement condition survey of each street section based on <br /> distresses concurrent with the deflection testing. The surveys will generally cover the travel and <br /> parking lanes. Pavement condition surveys serve the purpose of further refining the appropriate <br /> pavement rehabilitation treatments that are developed based on pavement deflection testing and <br /> coring. <br /> The condition survey will generally note the presence of load related and environmental distresses, <br /> such as alligator cracking, longitudinal and transverse cracking, rutting, patches and utility cuts, <br /> distortions and depressions as they pertain to developing appropriate pavement treatments. In <br /> addition, potential base repairs will be identified in the condition survey. Consultant's scope of <br /> services and condition surveys exclude issues including, but not limited to traffic, safety and road <br /> hazards, geometric issues, or short term maintenance that should be performed (i.e., pothole <br /> repairs), <br /> A visual survey of all curb and gutters will be conducted to identify areas where drainage or the <br /> adjacent pavement has been compromised. Repair recommendations are limited to those sections <br /> of curb and gutter that are damaged to the extent that they will affect pavement rehabilitation (i.e,, <br /> tree root damage extending into pavement). <br /> Consultant shall establish condition criteria for assessment and replacement with City before the <br /> survey.
