NOTES FROM MEETING WITH SEQUOIA PACIFIC RE: ELECTIONS Sequoia Pacific estimated cost of services to assist in election: $90,000 to $100,000 Services for regular election would include: • Training of election officers • Preparing/programming ballots • Preparing and mailing sample ballots • Preparing and mailing absentee ballots • Providing elections day materials, i.e. voting booths, voting machines • Election night tallying services Services for all mail ballot election would cost approximately $85,000 — $90,000 and include: • Preparing/programming ballots • Preparing and mailing sample/absentee ballots • Election night tallying services City would still need to provide: • Temporary personnel to verify/open/inspect/prepare ballots • Postage outgoing (approx. 11 cents per RV outgoing; 35 cents per RV return postage) Sequoia Pacific services do not include cost of postage for sample/absentee ballots. OPTECH Special Ballot available for tallying results by 9:30 p.m. at the cost of $10- 15,000) City would still need to provide additional person(s) to: • Designate, locate and provide for ADA accessible polling places • Distribute tables, chairs, election materials to polling places • Distribute ballots to polling places • Staff to make sure polling places are open/functional • Retrieve materials after election • Check signatures on absentee ballots* *Software is available to allow for signature verification/follow-up of absentee ballots at City Hall at approx. $25,000 Filing period for March 7, 2000 Election = November 15 to December 10, 1999 Filing period for November 7, 2000 Election = July 17, 2000 to August 11, 2000 17 �.
