NOTES FROM MEETING WITH SEQUOIA PACIFIC RE: ELECTIONS <br />Sequoia Pacific estimated cost of services to assist in election: $90,000 to $100,000 <br />Services for regular election would include: <br />• Training of election officers <br />• Preparing/programming ballots <br />• Preparing and mailing sample ballots <br />• Preparing and mailing absentee ballots <br />• Providing elections day materials, i.e. voting booths, voting machines <br />• Election night tallying services <br />Services for all mail ballot election would cost approximately $85,000 — $90,000 <br />and include: <br />• Preparing/programming ballots <br />• Preparing and mailing sample/absentee ballots <br />• Election night tallying services <br />City would still need to provide: <br />• Temporary personnel to verify/open/inspect/prepare ballots <br />• Postage outgoing (approx. 11 cents per RV outgoing; 35 cents per RV <br />return postage) <br />Sequoia Pacific services do not include cost of postage for sample/absentee ballots. <br />OPTECH Special Ballot available for tallying results by 9:30 p.m. at the cost of $10- <br />15,000) <br />City would still need to provide additional person(s) to: <br />• Designate, locate and provide for ADA accessible polling places <br />• Distribute tables, chairs, election materials to polling places <br />• Distribute ballots to polling places <br />• Staff to make sure polling places are open/functional <br />• Retrieve materials after election <br />• Check signatures on absentee ballots* <br />*Software is available to allow for signature verification/follow-up of absentee ballots at <br />City Hall at approx. $25,000 <br />Filing period for March 7, 2000 Election = November 15 to December 10, 1999 <br />Filing period for November 7, 2000 Election = July 17, 2000 to August 11, 2000 <br />17 �. <br />
