<br /> <br />5 <br />Return on Investment <br />Based upon industry standards, 3% of all records are misfiled and 7.5% are considered lost. <br />Misfiled and lost records cost $210 and $440 respectively to relocate or recreate1. <br />Therefore, the Department, its agents and contractors incur the following combined annual <br />administrative costs for information management and access: <br /> 393 misfiled records @ $210 each: $ 82,530 <br /> 983 lost records @ $440 each: $ 432,300 <br /> $ 514,830 annually <br /> <br />Implementation of a structured RIM program will virtually eliminate these costs by improving <br />record tracking and retrieval time, and drastically reducing misfiled and lost records. Based on <br />these figures, the Department’s return on investment for implementation of the program occurs <br />well within 1 year. <br />Approach <br />This proposal is implemented in three phases and includes the physical file review and <br />comparison, configuration of Laserfiche, scanning physical document to electronic format and <br />training of the Department staff. <br />All work will be completed at the City’s offices.
