a <br />DEED LIST UPDATE INSTRUCTIONS <br />Updating the Deeds List <br />1. Make additions or changes to deed list on g:/clerkIdeeds/deed.lst. <br />a. To insert a new row at the end of a full table: <br />(1) Put cursor on blank line immediately following table (above rev. date) <br />(2) Select Table from menu. <br />(3) Select Insert Rows. <br />(4) Select number of rows needed. <br />(5) Select OK. <br />b. Change revision date. <br />2. Save file (under same name: g: WerWeedsldeed.lst). <br />3. With cursor on updated page, print "Current Page" only under Print Page Range. <br />4. Replace pages in Deed List red binder with revised pages. <br />Creating Cover Sheets for Deed Files <br />1. Open deed list (g: IclerkUeedsldeed.lst). <br />2. Convert to a data file by deleting entire non -table heading on first page ("City of San <br />Leandro Deed List" and ALL returns). <br />3. Save AS g: WerkUeeds Uata. mrg (Yes, replace existing data. mrg file). <br />4. Close file. <br />5. Open g: I clerk) deeds I coversht. mrg. <br />6. Select Tools from menu. <br />7. Select Mail Merge. <br />8. Select Merge. <br />9. Select Merge again. (After selecting, it will take about 1'/2 minutes for the computer to <br />merge all records.) <br />
