Memorandum of Understanding with San Leandro Downtown Association for Earth Day 2023 Festival
BACKGROUND
Earth Day Festival 2023 is a continuation of the Annual Climate Festival. The goal of this event is to
engage the San Leandro community around climate change and environmental education through
different activities and learning modes during Earth Month. Proposed agenda includes tabling by
vendors, film screening, bike rodeo, Buy Nothing toy exchange, bike repair, and Tree Master Plan
engagement. The partnership with San Leandro Downtown Association will allow for a more robust
event than one solely organized by the Office of Sustainability.
SCOPE OF WORK
LABOR
• Events Coordinator (Julia) $40 per hour x 82 = $3,280
Hours
Pre-Event Coordination
(13 weeks @ 3 hours per week) 39
Week of Coordination 15
Day of Coordination 8
Collateral Creation
(social media posts, signage, YouTube ad) 20
TOTAL 82

• Ambassador Assistance $57 per hour OT x 4 = $228
Two regularly scheduled ambassadors will assist with set-up, breakdown, and clean-up (in-kind
contribution). However, Morgan would like to bring our Safety Ambassador Team Lead early that day to
be dedicated to the event.

EQUIPMENT - Will require support from PW & Library Services

• Road Barriers/Traffic Signage
Closing down W. Estudillo for the Bike Rodeo, etc., will require temporary street signage and pedestrian
barriers. The City may have them on hand for us to borrow. Otherwise, Morgan will need to rent them
at minimal expense if they pick them up from the vendor.

• Tables and Chairs for Participants
The museum should have sufficient quantities for us to borrow. However, we may need to ask the
Library for additional tables and chairs and request their team to bring them over. Morgan can work
with Brian Simons to minimize the impact on Library staff.

DocuSign Envelope ID: 3DF806B4-86B2-4341-8B1B-233E6DB684A3
