Page 17 <br />• Memorandum on scope and budget for the project that includes both covered and <br />optional tasks <br />• Project team coordination meetings and correspondence <br /> <br />TASK 2 – COMMUNITY OUTREACH PLAN & STAKEHOLDER FACILITATION <br /> <br />With assistance from the City, the consultant shall develop a Multi-Lingual and Accessible <br />Community Outreach and Engagement Plan, to lead a community outreach effort to keep the <br />community informed about the project, and provide opportunities for public input. The <br />consultant shall also facilitate property and other stakeholder discussions throughout the <br />duration of the project. <br /> <br />Task 2 Deliverables <br />1 Multi-Lingual and Accessible Community Outreach and Engagement Plan – draft and final <br />2 Community Engagement Plan Implementation (e.g., pop-ups, stakeholder group <br />meetings, survey(s)) <br />3 Site Tour – materials and summary <br />4 Stakeholder Interviews (10) & Summary Memo <br />5 Property Stakeholder Facilitation – materials, facilitation, and summary <br />6 Website Content – project overview & updates to correspond with Community Meetings, <br />key milestones, review drafts, and final documents. <br />7 Community Workshops (number TBD) - materials, attendance and summary <br /> <br />TASK 3 – DATA COLLECTION, BASE MAPS, AND EXISTING CONDITIONS ANALYSIS <br /> <br />Consultant shall collect, survey and organize all information necessary to analyze existing <br />conditions and produce a planning survey and other base maps and drawings required for <br />development of the Development Plan. These maps will be produced in a timely manner to <br />inform alternatives development. <br /> <br />Consultant shall collect and review all utility as-built, geotechnical and other information that <br />would help establish the existing conditions of the plan area. City will provide background <br />documents from the Bay Fair TOD Specific Plan preparation, Infrastructure Phasing and <br />Financing Study deliverables, speed and traffic volume data for adjacent City streets. BART will <br />provide recent planometric, topographic and digital terrain mapping for its property. Other <br />property owners will provide site surveys, as available; however, consultant shall budget for <br />preparation of additional survey work required to prepare a feasible Development Plan. <br />Consultant shall also propose a potholing plan for any utilities that cannot be precisely located <br />and perform the necessary potholing. Consultant shall obtain all title reports and easements <br />for properties within the sub-district, and collect parking supply and occupancy data. From this <br />information, the consultant shall prepare utility base maps and existing condition analysis. <br /> <br />Consultant shall create existing conditions report(s) and/or memo(s) summarizing the <br />following. Reports may be additions to or adaptations of existing conditions report(s) and/or <br />memo(s) created for the 2018 Specific Plan, with updated information. <br />• Area’s history and planning processes
