City of San Leandro <br />Meeting Date: May 7, 2018 <br />Staff Report <br />Agenda Section:File Number:18-210 CONSENT CALENDAR <br />Agenda Number:8.E. <br />TO:City Council <br />FROM:Jeff Kay <br />Interim City Manager <br />BY:Debbie Pollart <br />Public Works Director <br />FINANCE REVIEW:Not Applicable <br />TITLE:Staff Report for a Resolution Authorizing the City Manager to Execute a Rental <br />Agreement with Nixon-Egli Equipment Company for a Cold Milling Machine at an <br />amount not to exceed $93,332.96. <br />SUMMARY AND RECOMMENDATIONS <br />Staff recommends that the Council authorize the City Manager to execute a 3-month rental <br />agreement for lease of a cold milling machine at a total cost of $93,332.96. <br />BACKGROUND <br />With last year’s passage of SB1, the City is the recipient of State monies (issued monthly) for use <br />in approved maintenance projects located within the right-of-way. In anticipation of expanding the <br />amount of asphalt maintenance work able to be completed by staff, last year the City Council also <br />approved purchase of a new asphalt paver. <br />Analysis <br />The Public Works Department currently has a small cold milling machine (also known as a <br />grinder). However, with the amount of maintenance work planned for this summer/fall (project list <br />approved by Council on April 16, 2018), a larger grinder would allow for a greater volume of work <br />to be completed in a shorter timeframe. <br />Staff found only one company, Nixon-Egli Equipment Company that offered this type of equipment <br />rental, with a minimum 3-month rental requirement. <br />Budget Authority <br />Existing monies in the Gas Tax Fund (140-31-057) are available to pay for the 3-month rental.
