City of San Leandro <br />Civic Center, 835 E. 14th Street <br />San Leandro, California 94577 <br />Tune 12, 2008 <br />San Leandro Transportation Management Organization <br />Board of Directors Exhibit D <br />262 Davis Street <br />San Leandro, California 94577 <br />Subject: Proposed Duties and Responsibilities of the City of San Leandro to be Provided to <br />the San Leandro Transportation btanagement Organization <br />Dear Board of Directors: <br />Considering revisions to the duties of the Executive Director of the San Leandro Transportation <br />Management Organization (TMO}, the City of San Leandro (City) proposes to provide <br />administrative support services to the TMO, including the financial duties previously agreed upon, <br />for an annual cost of $21,000, to be billed quarterly. <br />The following is a list of the proposed duties and responsibilities of the City of San Leandro with <br />regards to the TMO. <br />1. Arrange, organize, staff and document monthly meetings of the TMO Board of Directors <br />and the Executive Committee of the Board. Prepare all meeting agendas and summaries for <br />review and approval by the TMO Board. Maintain all business records, ridership reports, <br />contracts, meeting minutes, grant applications and invoices. <br />2. In cooperation with the service provider, prepare detailed monthly ridership reports on <br />shuttle operations for review by the TMO and the City. <br />3. Create and distribute an Annual Report to the City and granting agencies and participate in <br />the preparation of all necessary documents required for the West San Leandro Shuttle <br />Business Improvement District {BID). <br />4. Coordinate the financial reporting of the TMO. Prepare and submit appropriate financial <br />documentation in a manner consistent with timely payment of invoices and subnussion of <br />reports. <br />5. Retain qualified accountant and coordinate the preparation and submittal of annual tax <br />returns for the TMO. <br />Tony SanEos, Mayor <br />City Council: Suriene G. Grant; Michael J.
