Assist with pre-bid questions and need for clarifications from <br />possible vendors, and addendums if needed. <br />7. Assist City of San Leandro Public Works staff with selection process including possible interview <br />format, review of pricing, review of submittals. <br /> <br />8. Meet with City of San Leandro staff as needed to maintain involvement by staff, and approvals <br />throughout the process. <br /> <br />Services Not included – To be performed by City of San Leandro staff <br /> <br />1. Preparation and formatting of final RFP documents for posting and issuance <br />2. Creation of GPS maps outlining areas, square footages, etc. served by maintenance contracts <br />3. Routing for required review by other City of San Leandro departments prior to finalizing <br />4. Posting of RFP’s to City website and other contract websites <br />5. Preparation of City Council staff reports; attendance at City Council meetings/presentations <br />6. Pre bid meetings – preparation and posting of addendums <br />7. Receiving of RFP’s <br />8. Contact with vendors during or after the RFP process unless specifically requested by City of San <br />Leandro <br />9. Orientation with new vendors <br />10. Developing and finalizing vendor contract agreements with requirements [i.e. insurance, <br />certifications] <br /> <br />Billing rate is $100.00 per hour. Monthly invoices will be sent with the total number of hours worked for <br />that month. <br /> Future Phase ‐ Scope of Work <br /> <br />Upon approval by City of San Leandro and additional Not to Exceed Amounts: <br /> <br />1. Prepare planning tools to ensure annual and ongoing compliance with deadlines for issuance <br />and tracking of agreement related information <br />2. Prepare process flow chart to use for future RFP’s and for use as training tool for staff including <br />the roles and responsibilities of project managers for each maintenance contract <br />3. Prepare a How to Handbook for Public Works staff in combination with the planning tools and <br />flow chart to ensure compliance with process and deadlines. <br />4. Conduct training on process with Public Works staff including training materials <br />5. Assistance on orientation protocols and programs for new contractors <br />6.
