WRT | RFP No. 60149: San Leandro Comprehensive Parks Master Plan 22 Project Management and QA/QC WRT’s role as the prime consultant will be to manage the master planning effort. It will be our responsibility to present a clear point of contact that affords direct communication between the City, key stakeholders, and our project team, and to coordinate the team’s efforts in successfully completing the Master Plan. Regular video conference and in-person meetings will be part of our communication strategy, as well as establishing responsibilities and guidelines early on regarding timely reviews and decision-making for the duration of the planning process. Elements of our approach are described below. • Project Initiation Meeting At the kick-off meeting, WRT and the client team will finalize the scope, communication strategy and project schedule and identify a project file sharing system. • Regular Coordination Meetings Regular video conferencing will be part of our communication strategy. WRT will host regularly scheduled project coordination meetings on a bi-weekly or monthly basis as needed. These regular calls can be supplemented by phone and email communication as needed, and in-person working sessions at key junctures. Meeting notes will be documented with clear follow-up steps and actions. • QA/QC Policy and Procedures WRT’s Quality Management process emphasizes the prevention of errors in addition to the correction of errors. Providing quality professional services is the responsibility of every WRT employee to uphold. The firm’s Quality Management process includes the consistent review and adherence to the approved budget, project goals and deliverables, and includes a Peer Review Process for internal review. WRT will collaborate closely with the City and School Districts to ensure that quality, schedule, and project requirements are met. WRT will ultimately be responsible for the quality and completeness of all deliverables including those authored and developed by the subconsultant team. • Project Management Platforms We use several platforms to establish an efficient, collaborative workflow in a virtual environment, including our cloud-based project system, Microsoft Teams. Teams is a fully integrated video communication software, and also a project server, housing necessary collaborative files and maintaining accurate version control and an efficient means for sharing large files. We also utilize Bluebeam Revu and Conceptboard for file markup, idea generation, and collaboration. Deltek is the firm’s internal data and project management system. We use Deltek to track personnel time on each project and resource allocation across projects. Deltek, paired with a personnel spreadsheet prepared for each week, supports weekly project management meetings in our office. The WRT management team includes John Gibbs as Principal and Peter Winch as Professional-in-Charge. They have spent their careers specializing in the delivery of planning and design projects on national, regional, and local scales. Andres Quinche will serve as the Project Manager, your daily point of contact and an experienced professional who will be focused on the Parks Master Plan. We will work closely with its subconsultants’ leadership to ensure the goals, timelines, and deliverables are met throughout the course of the project. We will work collaboratively to maximize our partners’ specific professional experience, skills, and knowledge for their assigned roles.
