WRT | RFP No. 60149: San Leandro Comprehensive Parks Master Plan 22 <br />Project Management and QA/QC <br />WRT’s role as the prime consultant will <br />be to manage the master planning effort. <br />It will be our responsibility to present a <br />clear point of contact that affords direct <br />communication between the City, key <br />stakeholders, and our project team, and to <br />coordinate the team’s efforts in successfully <br />completing the Master Plan. Regular video <br />conference and in-person meetings will <br />be part of our communication strategy, as <br />well as establishing responsibilities and <br />guidelines early on regarding timely reviews <br />and decision-making for the duration of the <br />planning process. Elements of our approach <br />are described below. <br />• Project Initiation Meeting <br />At the kick-off meeting, WRT and the <br />client team will finalize the scope, <br />communication strategy and project <br />schedule and identify a project file <br />sharing system. <br />• Regular Coordination Meetings <br />Regular video conferencing will be part <br />of our communication strategy. WRT <br />will host regularly scheduled project <br />coordination meetings on a bi-weekly <br />or monthly basis as needed. These <br />regular calls can be supplemented by <br />phone and email communication as <br />needed, and in-person working sessions <br />at key junctures. Meeting notes will be <br />documented with clear follow-up steps <br />and actions. <br />• QA/QC Policy and Procedures <br />WRT’s Quality Management process <br />emphasizes the prevention of errors <br />in addition to the correction of errors. <br />Providing quality professional services <br />is the responsibility of every WRT <br />employee to uphold. The firm’s Quality <br />Management process includes the <br />consistent review and adherence to the <br />approved budget, project goals and <br />deliverables, and includes a Peer Review <br />Process for internal review. WRT will <br />collaborate closely with the City and <br />School Districts to ensure that quality, <br />schedule, and project requirements are <br />met. WRT will ultimately be responsible <br />for the quality and completeness of all <br />deliverables including those authored <br />and developed by the subconsultant <br />team. <br />• Project Management Platforms <br />We use several platforms to establish <br />an efficient, collaborative workflow in <br />a virtual environment, including our <br />cloud-based project system, Microsoft <br />Teams. Teams is a fully integrated video <br />communication software, and also <br />a project server, housing necessary <br />collaborative files and maintaining <br />accurate version control and an <br />efficient means for sharing large files. <br />We also utilize Bluebeam Revu and <br />Conceptboard for file markup, idea <br />generation, and collaboration. Deltek <br />is the firm’s internal data and project <br />management system. We use Deltek <br />to track personnel time on each <br />project and resource allocation across <br />projects. Deltek, paired with a personnel <br />spreadsheet prepared for each week, <br />supports weekly project management <br />meetings in our office. <br />The WRT management team includes John <br />Gibbs as Principal and Peter Winch as <br />Professional-in-Charge. They have spent <br />their careers specializing in the delivery of <br />planning and design projects on national, <br />regional, and local scales. Andres Quinche <br />will serve as the Project Manager, your <br />daily point of contact and an experienced <br />professional who will be focused on the <br />Parks Master Plan. We will work closely with <br />its subconsultants’ leadership to ensure the <br />goals, timelines, and deliverables are met <br />throughout the course of the project. We <br />will work collaboratively to maximize our <br />partners’ specific professional experience, <br />skills, and knowledge for their assigned <br />roles.
