22 <br /> <br /> <br />experience developing these reports and shall assist the City Project Manager in providing monthly and <br />quarterly reports to be submitted to Cal OES to meet requirements for the sub-recipient grant providing <br />the funding for this program. As part of the not to exceed amount, NPA shall participate in any <br />teleconferences and shall resolve any outstanding issues or answer questions to Cal OES and FEMA when <br />requested by City <br />Project Planning Meetings <br />NPA shall plan, coordinate, and facilitate a minimum four (4) planning committee meetings, not including <br />the project kick-off, project close out, and public outreach meetings. The first and final review meetings <br />shall be facilitated and occur in person, or as otherwise agreed to with the City’s schedule and <br />requirements. NPA staff shall coordinate and attend these progress meetings and workshops with the City <br />project manager, the IWG, regulatory and resource agencies, and review boards to review, discuss project <br />deliverables and work progress. For each meeting or workshop, NPA shall prepare meeting agendas, <br />meeting notes and shall submit for review to the City prior to the meeting. <br />NPA shall attend and facilitate any necessary additional meetings to address any feedback received from <br />the review or adoption process. <br />Kickoff Meeting <br />NPA shall facilitate an in-person Kickoff Meeting to review the project scope of work, deliverables, <br />timeline, communications, and planning committee. During this meeting NPA shall meet and greet the <br />IWG and describe team member’s roles and responsibilities and any subsequent planning meetings. <br />During this meeting, NPA shall also review appropriate LHMP standards and regulations, as well as review <br />the City’s capabilities and needs. NPA shall take the information from the kickoff meeting and develop a <br />Project Management Plan (PMP). <br />Monthly Project Management Team Meetings <br />NPA shall prepare and facilitate either on site, virtual, or phone meetings on a monthly basis with the <br />City’s Project Manager to discuss progress of the development of the LHMP. NPA shall provide to the <br />City a monthly report and meeting agenda prior to these meetings. Final drafts of the final reports and <br />meeting minutes shall be provided within five (5) days after each meeting. <br />Monthly Planning Team Meetings <br />NPA shall work with the City’s Project Manager to determine a monthly planning team meeting with the <br />IWG in order to provide updates and garner feedback. NPA proposes that at least four (4) of these monthly <br />meetings are held to discuss the following: <br />Hazard Identification and Risk Assessment - The HIRA meeting to describe what hazards may affect <br />the City, where they may occur, and how frequently they may happen.
