GCC will work with staff and consultants to coordinate <br />schedules, send meeting invitations, prepare agendas, and facilitate meetings when <br />necessary. <br />● Weekly Email and Updates. GCC will send a weekly project status email to the PM <br />team to keep staff aware of project status and will provide updates on issues as they <br />arise. <br />● Project Management Spreadsheet. GCC will create and maintain a live, task-tracking <br />spreadsheet to allow collaboration with PM Team and consultant staff. The document <br />will specify action items, QA/QC responsibilities, status, due dates, and schedule and <br />will be updated to update the PM Team during weekly meetings to ensure that the PM <br />and consultant teams are aligned on project status and issue resolution. <br />● Project Schedule. GCC will create and maintain a high-level project schedule to track <br />the consultant team’s progress. GCC will provide schedule updates on a quarterly basis <br />to confirm timelines and avoid slowdowns. <br />● Budget Tracking Spreadsheet. GCC will create and maintain a budget tracking <br />spreadsheet to track billings as they relate to task completion. <br />● Invoices. Monthly invoicing will be provided on a time and materials basis not to exceed <br />the scoped amount. The PDA grants funding the Development Plan and ACTC grant <br />funding the CBTP are deliverables-based. All invoices will include the following at <br />minimum: <br />○ Cover letter describing percent complete by task. <br />○ Payment tracking sheet <br />○ Backup for expenses for which Consultant is claiming reimbursement <br />Deliverables: <br />• Task Tracking Spreadsheet <br />• Project Schedule by Calendar Month <br />• Schedule Tracking Document <br />• Budget Tracking Spreadsheet <br />• Email updates <br />• Monthly invoices <br />1.3 Project Team Meetings <br />Team Meetings: The core Consultant Team will meet internally weekly to focus on project <br />content and will include subconsultants as needed. The PM Team may also be invited to <br />Consultant Team meetings when content is appropriately developed for review. <br /> <br />The frequency of meetings with the PM Team may vary depending on the overall project <br />schedule. <br /> <br />Project Team Meetings: GCC and UFS will participate in a bi-weekly 1-hour check-in meetings <br />with the PM Team to provide progress updates, review open action items, review upcoming <br />schedule milestones, and solicit feedback and discuss issues as needed.
