IN THE CITY COUNCIL OF THE CITY OF SAN LEANDRO RESOLUTION NO. 2025-032 RESOLUTION TO APPROVE AND AUTHORIZE THE CITY MANAGER TO EXECUTE A CONSULTING SERVICES AGREEMENT WITH ONE WORKPLACE TO PROCURE AND INSTALL PRIVACY PODS FOR STUDY AND GROUP OR INDEPENDENT WORK AT THE MAIN LIBRARY FOR $269,806.03 AND TO NEGOTIATE AND APPROVE CUMULATIVE CONTRACT AMENDMENTS UP TO 9% OR $24,303.00 FOR A TOTAL NOT-TO-EXCEED AMOUNT OF $294,109.03 WHEREAS, the need for semi-private public space at the Main Library has grown as virtual technology has expanded and accelerated in use since the COVID 19 pandemic; and WHEREAS, small semi-private space is needed by the public for group work, individual work, tutoring and instruction of technology and literacy; and WHEREAS, community members directly expressed a need for semi-private spaces for study and work in the 2023 Library strategic planning focus groups that involved over 175 community members from all ages, socioeconomic backgrounds, and ethnicities, including focus groups conducted in Mandarin and Spanish; and WHEREAS, the privacy pods provided through a Sourcewell pre-bid government contract are a cost-effective solution; and WHEREAS, One Workplace agreed to the terms in the Consulting Services Agreement to procure and install the privacy pods; and WHEREAS, installing any major equipment in an older building may come with unforeseen issues and require additional fees to cover contract amendments. NOW, THEREFORE, the City Council of the City of San Leandro does RESOLVE as follows: 1. That the agreement, substantially in the form presented, is approved and the City Manager is authorized to execute the agreement with One Workplace for the procurement and installation of privacy pods at the Main Library for an amount of $269,806.03; and 2. That the City Manager or her designee is authorized to negotiate and approve cumulative contract amendments up to a maximum of 9% of the original contract amount, or $24,303.00 for a total not-to-exceed $294,109.03; and 3. That the City Manager is authorized to take all actions and execute all documents necessary to effect the purpose and intent of this Resolution.
