The product of this contract shall become a sole property of the City of San Leandro, to use in <br />any form it deems fit. The contractor shall not be liable for the use of the said materials, if and <br />when used in any way not intended in the contract. <br />MANAGEMENT AND COORDINATION <br />This task describes the management and administration services to be provided for the duration <br />of the project. The general management and administration services are described below. The <br />estimated project hours include project administration costs with each task. The management <br />and administration services consist of the following services: <br />Monthly Progress Reports & Invoices <br />Contractor will prepare and submit monthly progress reports that will describe in narrative <br />format the events of the preceding month, the progress of work, the activities performed by the <br />Contractor's team, completed deliverables, information/decisions required to maintain schedule, <br />problems encountered that may affect the schedule, budget or work products, and anticipated <br />work activities for the following month. A monthly invoice will be prepared showing the hours <br />worked by each category of staff and direct expenses consistent with the requirements of this <br />Agreement The monthly Progress Report will accompany the monthly invoice. <br />Project Schedule Preparation and Maintenance <br />Contractor will maintain a project schedule that will show key project tasks and the time <br />anticipated to accomplish the tasks from Notice to Proceed through completion of Final Plans, <br />Specifications and Estimates (PS&E) which will not vary in duration from this contract <br />Contractor will periodically review the project schedule and checklist of key project tasks and <br />will inform the City of any revision that needs to be made and prepare a recovery plan for tasks <br />that fall behind schedule. <br />Contractor overtime required for schedule recovery due to failure of Contractor to meet schedule <br />will not be charged to City. <br />Filing System Development and Maintenance <br />Contractor will maintain project files and correspondence using a uniform filing system <br />separating contractual materials, correspondence, and design calculations, with additional <br />categories when needed. <br />City and Project Meetings <br />Contractor will attend monthly meetings throughout the anticipated design period with the City <br />to review the previous month's outstanding project issues, to review schedule and budget status, <br />to obtain required input from the City. Meetings after the design period are covered under <br />services during bidding and construction. Contractor will also attend meetings and participate in <br />phone conversations with other agencies to coordinate design, resolve issues, and to review <br />overall schedules. Coordination is also anticipated with the City of San Leandro Transportation <br />Section, CPUC and the various utility companies. A single coordination meeting with all <br />utilities present is anticipated. The number of meetings and hours-allotted are discussed below. <br />Team Coordination Meeting <br />Contractor will lead a kickoff design team meeting to supply team members with project <br />materials and design direction.
