INTRODUCTION <br />The CITY OF SAN LEANDRO (hereinafter "the City") hereby requests proposals for a COMPUTERIZED <br />MAINTENANCE MANAGEMENT SYSTEM to be configured for use by the Public Works Department <br />(hereinafter "the Project"). The City is seeking a cloud -based solution along with a professional services <br />engagement to design, configure, implement, and test the system before it is launched. <br />This Request for Proposals (hereinafter "RFP") describes the general rules for preparing and submitting <br />proposals and the City's requirements for the COMPUTERIZED MAINTENANCE MANAGEMENT SYSTEM. <br />1.1. Definitions <br />For the purpose of this RFP references to "Bidder" in all instances shall mean the specific person or entity <br />responding to this RFP; references to "Bid" in all instances shall mean the bidders'/contractors' response <br />to this Request. <br />1.2. Clarification and Interpretation of RFP <br />The words "must" or "will" or "shall" in this RFP indicate mandatory requirements. Taking exception to <br />any mandatory requirement may be grounds for rejection of the proposal. <br />The City wants to avoid any misunderstanding where it is assumed that a feature is included in the <br />proposal and turns out to be an optional, extra cost feature. As such, any question answered with an <br />indication of compliance will be considered included at no additional cost. Any service that is referred to <br />in the body of this response (does not pertain to attachments and brochures) will be considered <br />included in the basic offer. <br />1.3. Purpose <br />The purpose of this RFP is to provide minimum requirements, solicit bids and gain adequate information <br />from which the City may evaluate the Bidder's products and services as they compare to other <br />equipment providers and as they pertain to the needs of the City's organization as defined in this <br />document. <br />1.4. RFP Number <br />The City has assigned the following RFP identification number that must be referenced in all <br />communications regarding this RFP # 55021 <br />1.5. Contract Duration and Project Timeframe <br />The contract will be executed following approval by the City Council. This is expected to occur in <br />November, 2015. Bidder must be present at the City Council meeting. The Project will commence <br />thereafter and is expected to be completed within six (6) months' time. <br />1.6. Projected Installation Date <br />The selected Bidder will develop a project plan and timeline with the City upon award. The selected <br />Bidder will make best efforts to meet the installation deadline.
