<br />Consulting Services Agreement between City of San Leandro and Last revised 03/16/2022 <br />PlanIT Geo for Trees Master Plan Exhibit A – Page 14 of 17 <br />7. A remote meeting will be held to discuss the feedback received from the public and any necessary <br />revisions within the scope of the Plan. <br />8. PlanIT Geo’s Design Team will utilize Adobe InDesign and other graphic design tools to develop a <br />Plan that appeals to a wide audience and includes infographics, maps, and other visual aids. Once <br />completed, this will serve as the final Plan for review by the City. <br />9. Once approved, the final Trees Master Plan will be shared as an Adobe PDF including all source <br />files to enable the City to access and utilize specific sections of the Plan for future messaging and <br />presentations. Key components of the Plan will be added to the project website. <br /> <br />Presentations & Delivery <br />The Consulting Team recommends additional presentations to City commissions and boards that impact <br />or influence the trees in the City, for example, the Planning Commission and/or the Recreation and Parks <br />Commission. <br />1. The timing and audience for the presentations will be discussed with the City and finalized. <br />2. The Consulting Team recommends 2 presentations— one at the draft stage and one at the final <br />stage of the Plan. <br />3. The team will prepare an outline for both presentations and draft PowerPoints for the City to <br />review. <br />4. The team can host the meetings/presentations on Zoom or City-preferred platform. <br />5. A PDF copy of the presentation will be shared with the City. <br />6. After all project components are completed and approved, the Consulting Team will prepare the <br />final delivery folder of all supporting studies, worksheets, and documents. A remote meeting and <br />screenshare will be set up by the Consulting Team to provide a review and training of the materials <br />to key staff and stakeholders. This will ensure successful implementation of the Plan. <br />7. 6 months following project completion, PlanIT Geo will work with the City to transfer hosting or <br />content from the project website. <br /> <br />SUMMARY OF TASK DELIVERABLES <br />Project Management <br />❖ Tree Inventory and Master Plan kickoff <br />❖ Monthly meetings <br />❖ Internal Work Plan of timeline/milestones <br />❖ Zoom, Gantt Charts, Trello <br /> <br />1.1) Tree Inventory <br />❖ Kickoff meeting and logistics defined <br />❖ 20,000 trees + planting sites and stumps <br />❖ Free 1-year subscription to TreePlotter <br />❖ TreePlotter and data training <br />❖ Excel and Geodatabase delivery <br />❖ Accurate and precise data <br /> <br />1.2 – 1.4) Heat and Planting Area Assessments <br />❖ Draft and final summary sheets and maps <br />❖ Draft and final priority planting areas
