3. Conduct regularly scheduled project team meetings at weekly intervals to monitor progress <br />and resolve project -related issues as they arise. <br />4. Perform updates to the project budget on an ongoing basis. Recommend adjustments to <br />design or scope when necessary to stay in budget. <br />5. Prepare monthly project cost reports which identify committed costs to date and projected <br />costs to completion on a line item basis. <br />6. Monitor the project schedule on an ongoing basis. Recommend revisions or logic changes as <br />necessary to maintain the schedule. <br />7. Manage the day to day details of the project. Prepare correspondence, meeting minutes, <br />reports and other documentation necessary to control the project. <br />8. Advise City staff and make recommendations when policy or design decisions are required. <br />9. Assist in the public review process and in presentations to City commissions and council as <br />required by the City to obtain project approvals. <br />10. Review and recommend for approval design consultants' invoices. <br />11. Review the Design Development documents for completeness, coordination, and compliance <br />with design intent. <br />12. Make recommendations for reducing project cost through the use of alternative materials, <br />means, and methods. <br />13. Prepare a comprehensive and specific Design Development Phase project cost estimate. <br />14. Submit Design Development documents and project cost estimate to the City for review and <br />approval. <br />15. Coordinate with design team to incorporate City review comments into the design. <br />16. Work with the City to develop a complete and comprehensive main library relocation plan. <br />Assist as needed in the location of suitable space. Negotiate leases, if necessary, coordinate <br />the design of required improvements, and plan the logistics of the move. <br />Phase III Construction Documents <br />Manage and coordinate the preparation of Construction Documents.
