Consulting Services Agreement between City of San Leandro and Last revised: 10/25/2023
Pear Street for Age-Friendly Assessment and Action Plan Exhibit A – Page 2 of 2
management approach of organization and people skills. To keep projects on time and on budget, Pear
Street will share organized task lists, assign task owners and deadlines, and track hours by task. To ensure
good customer service, the Project Manager will hold regular check-in calls and be responsive to needs as
they arise. Pear Street will build strong relationships with clients by starting projects with a concise team
charter that documents each party’s communication preferences, desired project outcomes, and primary
roles and responsibilities.

Pear Street will begin with a project kick-off meeting to get to know the City of San Leandro project team,
and discuss and validate project goals, deliverables, timeline, key stakeholders, project roles, terminology,
and project team communication norms. From this initial meeting, the Project Manager will develop and
share a detailed project work plan and timeline. Pear Street will meet bi-weekly to check in on project
progress, decisions, and key milestones. Additionally, Pear Street will prepare and deliver succinct
presentations on project progress to the Senior Commission on a bi-monthly basis, or at appropriate
milestones to validate findings and approach. On those occasions, Pear Street will attend regular Senior
Commission meetings and be prepared to answer questions and capture feedback.

The Project Manager will oversee the strategic direction of the project, maintain day-to-day oversight, be
the primary point of contact, and be responsible for all non-facilitation deliverables (including data analysis,
communications, tool development, and report writing). The Lead Facilitator will facilitate all listening
sessions, focus groups and stakeholder meetings, as well as review all deliverables to ensure a high level
of quality control, alignment with project objectives, and culturally-relevant community outreach and
engagement approaches. All deliverables will be shared with City staff, Senior Commission, and any other
relevant key stakeholders to ensure a shared understanding of community priorities, key engagement
takeaways, and highly-usable final products.

Pear Street will utilize a two-person project team to deliver a successful scope of services. To meet the
City’s expectations and outcomes, the Project Manager will contribute ~72% of the estimated 555 total
project hours, while the Lead Facilitator will contribute the remaining ~28% of total project hours. . Key
individuals identified to perform the scope of work will not be substituted with other personnel or reassigned
to another project without the City’s prior approval.

DocuSign Envelope ID: 69991251-5437-4677-9DF2-0971A1407917
