PRESERVATION OF VITAL RECORDS <br />Vital records include documents essen�al to con�nue government func�ons and conduct emergency opera�ons. <br />Vital records are necessary to: <br />• Conduct emergency response and recovery opera�ons. <br />• Re-establish normal governmental func�ons. <br />• Protect the rights and interests of individuals, corpora�ons, or other en��es. <br />The City Clerk’s Office is responsible for preserving and protec�ng vital citywide records, while individual <br />departments are responsible for iden�fying, maintaining, and protec�ng vital departmental records. <br />Examples of vital records include: <br />• Records necessary to conduct emergency opera�ons. <br />o Emergency opera�ons plans and standard opera�ng procedures <br />o U�lity system maps <br />o Loca�ons of emergency supplies and equipment <br />o Lists of regular and auxiliary personnel <br />• Records required to restore normal government func�ons. <br />o Cons�tu�ons and charters <br />o Statutes <br />o Ordinances <br />o Resolu�ons <br />o Court records <br />o Official proceedings <br />o Financial reports <br />• Records necessary for the protec�on of rights and interests of individuals and government.
