DOCUMENTATION <br />The EOC Finance/Administra�on Sec�on is responsible for maintaining incident- and recovery-related <br />documenta�on. Incident-related documenta�on typically refers to the following: <br />• Requests for emergency proclama�ons/declara�ons <br />• Local emergency proclama�on <br />• Situa�on Reports <br />• EAPs <br />• Request for assistance <br />• Cost/expenditures reports <br />• Damage assessment reports <br />• Press releases <br />• Other correspondence <br />• Personnel records <br />• Timekeeping records <br />Following EOC demobiliza�on, disaster records are maintained by the City of San Leandro departments. Records <br />iden�fying incident-related expenditures and obliga�ons are kept separate from general programs and ac�vi�es <br />and will be archived for a minimum of three years following the closure of federal reimbursement or longer for <br />specific records outlined in state or local record reten�on policies.33,34 The City Clerk manages record reten�on <br />schedules for the City. <br />7.2. FINANCE <br />Disaster-related expenditures may be reimbursed under several state and federal programs. Reimbursements <br />may be authorized for approved costs for work performed to protect or restore public facili�es or func�ons. <br />Funding may also be available for individuals or businesses to assist with the recovery process. The City of San <br />Leandro will seek cost recovery for disaster-related expenses whenever possible. Common disaster assistance <br />programs are outlined in Appendix 9.5. <br />To facilitate this effort, the EOC maintains all cost documenta�on to support reimbursement requests for <br />disaster-related expenditures. The Finance/Administra�on Sec�on in the EOC ensures appropriate <br />documenta�on is collected and tracked in compliance with local, state, and federal regula�ons. Special <br />considera�on is provided to expenses collected across various departments and agencies that may not have <br />been opera�ng directly suppor�ng the EOC, such as ICP costs, con�nuity of opera�ons costs, and other response <br />costs. <br />7.3.
