Phase 4.0 Staff Offices and Conference Room Needs <br />4.1 The Consultant shall prepare and distribute a survey on current and future staff and public <br />space needs to each department. <br />4.2 The Consultant shall interview departmental heads to review current and future staff and <br />space requirements. <br />4.3 The Consultant shall research operational and service models. <br />4.4 The Consultant shall conduct PMT Meeting 4 to review and finalize the programs for the <br />Council Chambers and the staff offices based on input from City. <br />4.5 The Consultant shall revise the program based on PMT 4. <br />Phase 5.0 Building and Council Chambers Alternatives <br />5.1 The Consultant shall prepare a maximum of three (3) alternative conceptual designs <br />based on the council and staff space needs programs. <br />5.2 The Consultant shall conduct PMT Meeting 5 to review the conceptual alternatives and to <br />develop evaluation criteria for the selection of the preferred alternative. <br />5.3 The consultant shall prepare preliminary massing diagrams for three conceptual <br />alternatives. <br />5.4 The Consultant shall develop initial phasing plans for a maximum of three alternatives. <br />5.5 The Consultant shall develop initial cost models for a maximum of three alternatives. <br />5.6 The consultant shall conduct PMT Meeting 6 to review the agenda and contents of <br />Workshop. <br />5.7 The Consultant shall conduct a Workshop with City Department Heads to review the <br />three conceptual alternatives and evaluation criteria and select the preferred alternative. <br />5.8 The Consultant shall refine the preferred alternative, phasing plan and cost model based <br />on input from the Workshop. <br />5.9 The Consultant shall conduct PMT Meeting 7 to discuss the preferred alternative. <br />5.10 Based on input received from PMT Meeting 7 the preferred alternative will be further <br />refined. <br />Phase 6.0 Final Master Plan <br />6.1 The Consultant shall prepare a PowerPoint report summarizing the planning process and <br />recommendations. <br />6.2 The Consultant shall prepare graphics illustrating the general character and massing of the <br />preferred conceptual alternative on the site. <br />Exhibit A Page A2 of 3 <br />09/26/01 Preliminary City Council Chambers Remodel Design <br />
