PROJECT DESCRIPTION <br />1.30. General Overview <br />The City is seeking a Cloud -based COMPUTERIZED MAINTENANCE MANAGEMENT SYSTEM designed <br />specifically for asset management and maintenance with automated workflow capabilities for work <br />order creation, tracking, and completion. This system will be used by the City's Public Works <br />Department. <br />This Project is structured into core functionality and optional functionality. Each optional item will have <br />the text "(OPTIONAL)", minus quotes, following the text description of the item. Depending on funding, <br />optional functionality may become part of the core component of this RFP or will be postponed until <br />funding becomes available. <br />The goals established for this Project include: <br />• Implement a work order system to be used by all parts of the Public Works Department. <br />• Complete asset maintenance management of all impacted areas, as listed below in Work Areas <br />in Scope. <br />• A public facing mobile application that can be integrated with the work order system and used <br />by residents and Staff to report public works issues. <br />• The Bidder will propose the system and configuration that would best meet the City's stated <br />goals. <br />1.31. Work Areas In Scope <br />The new COMPUTERIZED MAINTENANCE MANAGEMENT SYSTEM would be used for management and <br />maintenance of all assets in Public Works, including, but not limited to the following: <br />• Facilities <br />• Fleet <br />• City Trees <br />• Park and Open Spaces <br />• Public Right -of -Ways (street markings, lights and signals, signs, pavement/sidewalk repair) <br />• Water Pollution Control Plant (facilities and stationary equipment) <br />• Storm Systems (inlets, outfalls, and tidal gates) <br />1.32. Requirements & Goals <br />Issue Work Order Requests (internally) <br />Internal users (Staff) from various City departments can report and track issues through email, website, <br />mobile app and/or other methods. <br />Issue Work Order Requests (externally) <br />External users (general public, including residents and community members) can report and track issues <br />through website, mobile app (e.g., SeeClickFix). <br />RFP No. 55021— Public Works CMMS Page 21 of 46 <br />
